Spaces

Organize your work into separate workspaces, each with its own templates, entries, and tags.

Overview

Spaces are top-level workspaces that keep your content organized and isolated. Each space has its own templates, entries, and tags — nothing bleeds between spaces. Think of them like separate notebooks or projects.

When you create an account, a default space is created automatically. Guest users also get a default space. You can create as many additional spaces as you need.

Creating a Space

  1. Click the space switcher in the sidebar header (shows your current space name)
  2. Select New Space
  3. Enter a name and pick an emoji icon
  4. Choose how to set up templates:
    • Start empty (default) — begin with no custom templates
    • Copy from existing space — duplicate all templates from another space
    • Use a starter kit — import a pre-built set of templates for a specific workflow (e.g., Note Taking, Recipes, Roleplaying)
  5. Click Create

Your new space is ready. The app switches to it automatically.

Switching Spaces

Click the space switcher in the sidebar header to open the dropdown. It shows your 5 most recently used spaces, sorted by last access. If other users have shared spaces with you, those appear in a separate Shared with you section (also sorted by recency, up to 5).

Click Manage All Spaces to go to Settings where you can manage all your spaces.

Content Isolation

Each space is fully independent:

  • Templates created in one space don't appear in another
  • Entries belong to exactly one space
  • Tags are unique per space — the same tag name can exist in different spaces without conflict
  • Pins are per-user and per-space

When you switch spaces, the sidebar, dashboard, search, and all views update to show only that space's content.

Managing Spaces

Go to Settings > Spaces to manage your spaces:

  • Rename a space or change its emoji
  • Archive a space to hide it from the switcher without deleting it (you can't archive your last remaining space)
  • Delete a space permanently — this removes all its entries, templates, and tags. Deletion cannot be undone. You can't delete your last remaining space.

If you're a recipient of a shared space (not the owner), you can leave it from the space switcher dropdown instead of deleting it.

Spaces and Collaboration

Sharing in Swashbuckler is per-space. When you share a space, the recipient gets access to all content in that space (subject to any exclusions you configure). Each collaborator can apply their own theme to a shared space — visual preferences are personal, not shared.
